Our Tenant’s Journey

1. Viewing Registration

If you see a property you would like to view, we will ask you to complete a Viewing Registration Form, providing some basic information about yourself.

2. Making an Application

After viewing the property, if you decide you would like to proceed, your application will be submitted to the Landlord for approval before referencing and Right to Rent checks are undertaken.

3. Holding Deposit

Once the Landlord has approved the application, we will ask you to pay a holding deposit equivalent to one week’s rent.

Once the holding deposit has been received:

· The property will be removed from the market.

· Referencing will begin.

· A preliminary move-in date will be discussed.

At this stage, you will also receive copies of the property’s compliance documents, including the EPC, EICR and GSR, together with a draft of the Tenancy Agreement. This gives you an opportunity to raise any questions or queries at an early stage.

4. Referencing and Landlord Approval

Once referencing has been completed, the results will be discussed with the Landlord. Subject to satisfactory references and the Landlord’s approval, the tenancy will be offered.

5. Tenancy Agreement and Payment

Once a tenancy start date has been agreed, you will be sent the Final Assured Periodic Tenancy Agreement for signature.

Once the agreement has been signed by all parties, we will request payment of the security deposit and the balance of the first month’s rent. These funds must be received by us 48 hours before the tenancy start date.

6. Moving In and Deposit Registration

Once the tenancy has commenced and you have moved into the property, we will register your deposit with the Deposit Protection Service (DPS) and send you the Prescribed Information for signature.

Once all paperwork has been completed, you will receive a full pack containing copies of all your signed documents for your records.

LET & MANAGED Properties

If you are occupying one of our LET & MANAGED properties, we will carry out periodic property visits. The first visit will normally take place approximately four months after the start of the tenancy, followed by visits every six months thereafter.

These visits allow us to ensure that the property is being properly cared for, while also providing you with an opportunity to discuss any issues or concerns that may have arisen during your tenancy.

As part of our LET & MANAGED service, we will also deal with repairs and maintenance on your behalf. During normal office hours, please call the office on 01949 878690 or email [email protected]

Out-of-Hours Emergency Maintenance

If you are a tenant in one of our Managed Properties and experience an emergency maintenance issue outside office hours, (Monday to Friday: 9:00am–5:30pm Saturday: 9:00am–2:00pm) please contact one of the following contractors by telephone or text.

Our contractors will do their best to talk you through the issue over the telephone. If they determine that the matter is urgent and constitutes an emergency, they will attend the property.

Please note that if you lock yourself out and require a lock change, any associated costs will be chargeable to you.

As with any property, arranging quotations and completing work can take a reasonable amount of time. Our contractors are independent third parties and manage their own schedules. If you need to contact them directly, please do so during sociable hours wherever possible.

What Constitutes an Emergency?

An emergency is considered to be:

Danger to life or damage to property only.
